There are 3 steps to getting started with A2X. When you begin the sign up process you will work through each step in order below.
A2X uses Google Accounts for industry leading security. You can use an existing Google Apps account, a Gmail account or create a new Google Account using any email address you wish.
A2X uses the Xero Partner API to access your Xero account. You will need to grant permission to A2X by clicking through on the Xero button. This will take you to the Xero login page, and after logging in you will select a specific organization that A2X can access. This organization is where A2X will post the Amazon invoices to.
A2X connects to your Amazon account automatically using an Amazon API. In order to connect you will need to grant A2X access to your account by API.
When Amazon creates a new settlement file A2X automatically fetches it, crunches the data and generates a summary of the income and expenses charged or received from Amazon.
You can configure A2X to summarize sales by SKU, Product Type, or to group all Sales together. You can also optionally group sales by country.
A2X generates invoices from each settlement and posts them to Xero, either manually or automatically. You can select the accounts and tax rates that apply to each type of income or expense either in A2X or Xero.
When the payment appears in your bank account within Xero, you can easily reconcile the invoices to their corresponding payments.
Amazon settlements are paid every 1-2 weeks (generally) but often will cross a month boundary. For example, one settlement may start on June 25th and run through to July 9th. If we create one invoice for this settlement, it will either need to be in June, or July and that will mean the entire period of sales and expenses will be recorded in a single month, when infact they relate to two months.
A2X will split the settlement data according to which month the sales or fee actually occurred. This will ensure that your financial accounts properly record the transactions in the month they occurred. This will make months more comparable to previous months and years for your reporting.

If the settlement period does not go past the end of a month, then it will have exactly one A2X invoice in Xero and Xero will usually automatically detect the matching invoice total and deposit amount and suggest the match in the reconcile screen for you.
If the settlement creates two invoices, you need to click 'Find & Match' to select the two invoices that correspond to the settlement deposit from Amazon.
If you have a bank account in a currency that does not match your Amazon invoices then you need to ensure you uncheck the 'Show CURRENCY items only' option in the Find & Match reconcile screen.
A2X has been built from the ground up with one basic premise, that all transactions should be able to reconcile back to the money in your bank account - as this is one data point that you can have confidence in.
We have found that when doing Amazon accounting based on order data it is very very hard to ever correctly reconcile to the payments in your bank account - fees, adjustments, reimbursements all mean that the order data seldom relates directly to the nett payment Amazon pays you.
In addition to the goal of reconciling the payments from Amazon to sales and fees, are two other motivations. Firsty, Xero recommends against having too many transactions in your accounting system - Xero should be for financial reporting, not for operational functions. Secondy, our experience is that as your Amazon business grows, the large number of invoices becomes increasingly difficult to manage and less useful for management reporting. For example if you have 100's of orders per day, you likely do not want to review each one within your accounting system but you do need complete confidence that Amazon paid you the correct amount and how that payment reconciles to your sales and fees.
There are several reasons why A2X may not be able to fetch all of your settlement file data from Amazon's API. Please try the steps below:
The reasons that no settlement files are available are similar to the reasons some might be missing, so please check the possible causes above. If none of the above issues apply, then please contact us as this could point to an issue with the API access to your account.
A2X will check your Amazon account for new settlement files every day, as soon as it finds them they are imported to A2X. If you have a new settlement file in Seller Central that is not appearing in A2X after 2 days, there could be a problem with the Amazon connection and you should contact us.
You cannot change Google Accounts, but you can invite other Google Accounts, including another that you use - to allow multiple users to access a single A2X account. Users can be invited or removed from an account in the settings section of your account.
Yes you can create a new A2X account, and invite the same or different users to the account. This allows you to administer multiple accounts in different market places, or different clients from a single Google account login. You can create new accounts using the drop down in the top right corner of the admin screen.
Yes you can. You will need to have a single A2X user account with access to both A2X accounts that you want to share Xero access. One account connects to Xero normally. The second account will 'share access'. To share access in A2X settings you can reset the Xero connection, and select the option 'If you would like this A2X account to access the same Xero organization as another of your A2X accounts click here' instead of connecting to Xero normally. This will allow you to select the first A2X account as the shared Xero access for the second account.
Amazon has hundreds of different fees, adjustments, charges and revenue transaction types. Exactly how businesses treat each type in their Xero accounting will differ based on a number of factors, you should consult with your financial advisor or accountant to ensure you have the correct mappings.
You can hand-select every individual account and tax rate when reviewing a settlement. Your selections will be saved and applied to matching transaction types on future settlements. You can also use our mapping tool available under the Accounts and Taxes menu option to specify the accounts and taxes either for broad groups of transaction types, or fine-tune them for individual transactions.
The invoice settings in your account settings control how A2X creates the Xero invoices when posting them to your Xero account. By default A2X will summarize all sales data and post the invoice with a single sales line item. You can choose to group by SKU, or product type (if you have defined any). If you group by SKU, we will pass SKU and quantity data to Xero too, but note this requires all your SKU's are already registered in Xero. These settings do not apply automatically to old settlements, refresh a settlements to apply new invoice settings.
Product Types are a way of grouping products together for special tax or accounting treatment in Xero. If you prefer to post sales by product type rather than all products in aggregate, then you can configure product types below based on one or more product SKUs. An example where this might be required would be where several SKUs that you sell need to have a different tax rate applied in Xero. By grouping those SKUs into a product type, you can select a different tax rate when posting the invoice.
Yes, you can select a tracking category for the invoices that A2X posts to Xero.
Each Amazon Account is a single login to Amazon Seller Central, it represents one Amazon Merchant.
Each Amazon Merchant can sell on one or more Amazon marketplace using their Amazon account.
For example if you have a single North American Amazon account you could sell on one marketplace such as Amazon.com, or you could sell on 2 marketplaces Amazon.com and Amazon.ca. Likewise you may have a single Amazon Europe account and sell on only Amazon.de or only Amazon.co.uk. You could also have an Amazon Europe account and sell on Amazon.co.uk, Amazon.de and Amazon.fr (and even Amazon.it and Amazon.es too!).
In A2X - each A2X account connects to a single Amazon account and can access one or more of the marketplaces that account sells on depending on which subscription plan you select.
